Completed Tasks In Trello: What To Do With Them


I’ve used Trello for some time. When I first started, completed tasks in my Trello dashboard confused me. This article will show you what to do with them so you don’t feel disorganised with completed tasks anymore.

Depending on the format your completed task comes in on Trello, you can choose to:

  1. Edit them
  2. Archive them
  3. Move to a “completed tasks” list
  4. Delete them

  1. Identifying if your completed task(s) is a comment, checklist, card, list or board
  2. Decide if you want to edit, archive, move or delete them

Depending on how you define your completed tasks(s), they can come in the form of a comment, checklist, card, list or board.

A board is the largest “container”. It can contain lists, cards, checklists and comments.

A list is the 2nd largest “container”. It can contains cards, checklists and comments.

A card is the 3rd largest “container”. it can contain checklists and comments.

A checklist and comment both stands alone, just that a checklist can contain subtasks.

With boards and lists, you can choose to edit, archive or delete them.

#2: Decide if you want to edit, archive, move or delete

Having identified whether your completed task is a board or etc, what’s left now is deciding what you want to do with it.

You can choose to edit or delete your completed task if you are certain you require no reference to it moving forward on your project.

You can choose to archive your completed task if you might require reference to it moving forward on your project, but it is not critical now.

You can choose to move your completed task into a “completed task” list if having future reference to it is critical moving forward for your project.

Recall that with a board in Trello, you can archive and/or delete them.

Archiving a board on Trello

On the phone app:

Step 1: Go to the board you want to archive.

Deleting a board on Trello

Deleting a board is only possible through a web browser.

The steps for deleting a board on Trello is almost similar to closing a board.

The only extra step you need to do is to click on the delete board option right after you have closed the board.

How it looks like after you’ve closed your board

Closing the board before being allowed to delete it is a fail-safe feature by Trello to prevent accidental deletions.

If you have closed your board on the mobile app and is now looking to delete the board on a web browser, go to the boards tab on the top left.

Click on “see closed boards” and delete the closed board(s).

Archiving a list on Trello

On the phone app/desktop/laptop:

Step 1: Navigate to the list you want to archive

Step 2: Click/tap on the three dots at the top right of the list

Deleting a list on Trello

In order to delete lists on Trello, you will also have to delete your entire board.

Usually, archiving a list is good enough, however, if you really want to delete a list, there is a workaround solution:

Step 1: Transfer the list(s) you want to delete to a new, empty board.

Step 2: Click/tap on the three dots at the top right of the list

Step 3: Click/tap on move list and move it to the new, empty board that you’ve created.

Step 4: After you have transferred all the lists you want to delete, close and delete the board.

Dealing With Completed Tasks On A Card

Recall that with a card in Trello, you can archive, move, edit and delete them.

Moving a card to a “completed tasks” list on Trello

On the phone app/desktop/laptop:

Step 1: Create a “Completed Tasks” list on your Trello board

On the phone app/desktop/laptop:

Step 1: Click/tap into the card

Step 2: On a web browser, under the “Actions” section of the card, click/tap on “Archive”

Deleting a card on Trello

You must first archive the card before you can delete it.

On the phone app/desktop/laptop:

Step 1: On a web browser, directly after archiving the card, under the “Actions” section of the card, click on “Delete”

On the phone app, directly after archiving the card, tap on the 3 dots at the top right hand of the card and tap on “Delete Card”.

Dealing With Completed Tasks On A Checklist

Recall that with a checklist and its associated items in Trello, you can edit and delete them.

Editing a checklist/checklist item on Trello

On the phone app/desktop/laptop:

Click/tap on the text you want to edit in your Trello checklist. You may choose to edit the title or any of your checklist items.

On the phone app:

Step 1: Go into the card containing the checklist you want to delete and tap on the 3 dots beside your checklist.

Step 2: Tap “Delete”

On the desktop/laptop:

Step 1: Go into the card containing the checklist you want to delete, you should be able to see the “Delete” button right away.

Recall that with a comment in Trello, you can edit and delete them.

Editing/deleting your comment on Trello

On the phone app:

Step 1: Go to the card where the comment you want to edit/delete lies

Step 2: Tap on the 3 dots beside the comment you want to edit/delete

Step 3: Tap on either edit/delete

On the desktop/laptop:

Step 1: Go to the card where the comment you want to edit/delete lies

Step 2: Just below the comment you want to edit/delete, you will see the “Edit”/”Delete” button, click on the button you require.
